Behind the Scenes with Seraphic Fire’s Box Office Team

The First Step in the Concert Experience

When audiences think of a Seraphic Fire concert, they often picture the soaring voices, the powerful music, and the unique venues. What many do not realize is that the experience begins long before the first note is sung, with the Box Office team. From answering phones and processing orders to mailing season tickets and welcoming guests at Will Call, this group is responsible for making sure every patron has a seamless and welcoming experience.


Planning and Fulfillment

Long before concert week arrives, the Box Office is already hard at work. The team leads the effort to fulfill season subscriptions and assign seating. Every request is handled carefully, whether it is keeping a longtime subscriber in their preferred spot or making sure a group can sit together in accessible seating.

Once seats are confirmed, the mailing begins. The process is meticulous: hundreds of tickets are printed for the entire season, sorted, matched with letters, and sent out in neatly prepared envelopes. Tickets will be mailed in mid-September, giving patrons plenty of time to receive them before the first concert of the season. It is a massive undertaking that signals the start of a new year of music.


The Rhythm of Concert Week

Concert week is one of the busiest times of the year for the Box Office team. Sofia Vidali and Kerren Dieuveille, Box Office Associates, spend their days answering calls, processing last-minute ticket exchanges, and preparing materials for Will Call. They also pack concert boxes with printed tickets, seating charts, house lists, and merchandise like CDs and programs, making sure that each venue is fully equipped.

On performance nights, the Box Office team arrives early to set up Will Call and assist patrons as they arrive. One team member manages ticket pickup while another processes walk-up sales, making the experience smooth and efficient. By the time the music begins, the Box Office has already played a critical role in creating the warm and welcoming atmosphere Seraphic Fire is known for.

Even from afar, Isabella Kupferschmied, Patron Relations Coordinator, is an important part of the team. Working remotely, she assists patrons by phone, answering questions about ticket availability, seating, and concert details. Her work adds a personal touch that makes patrons feel cared for, no matter where they are calling from.


A Personal Touch

For the Box Office, every interaction is an opportunity to build trust and connection. Sofia explains that many patrons recognize her name at concerts after she has helped them over the phone, creating meaningful full-circle moments. Isabella, who works remotely, shares that even phone calls can be deeply personal. She often hears from patrons about how much Seraphic Fire means to them, and those conversations remind her of the impact this music has on people’s lives.

This emphasis on care and attentiveness is what sets Seraphic Fire apart. As Sofia puts it, “We want every patron to feel confident, supported, and valued from the first call to the final applause.”


Collaboration and Community

The Box Office does not work in isolation. Close collaboration with Development, Operations, and Marketing keeps everything moving. Development shares updates on donations tied to subscriptions, Operations coordinates venue logistics, and Marketing campaigns drive the flow of calls. The Box Office sits at the center, balancing these inputs while keeping patrons front and center.

The most rewarding moment, they all agree, is standing in the back of a hall and seeing every seat filled. For them, those full audiences are more than numbers, they are the result of weeks of care, planning, and dedication.
